This statement applies to all services and activities of Spolek pro Jižní Súdán, z.s. (Association for South Sudan), hereinafter “SJS”, including all content of the website https://spolekjiznisudan.cz/. With this statement, we specify how our organization stores and processes the data you convey to us when communicating with us through website, phone calls, e-mails, and written correspondence. By using our website, subscribing to newsletters, visiting our programs or otherwise using our services, you are freely expressing your consent to the processing of your personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, hereinafter “GDPR”) and in accordance with the legislation in force in the Czech Republic, in particular the Act No. 101/2000 Sb., on the protection of personal data, under the conditions set out below.

 

BASIC PROVISIONS

The controller and processor of personal data is Spolek pro Jižní Súdán, z.s. based in Třebovická 5114/106, Třebovice, 722 00 Ostrava, registered with the Commercial Register kept by the Regional Court in Ostrava, Section C, Insert 14497, VAT number: 04392213. The advisory board together with the president of the association, as the highest authority and administrative organs of the organization, is the authorized data controller.

   The data subject is a natural person to whom personal data relate and who, in any way and of his or her own free will, participates in the activities of the association or supports the activities of SJS.

 

SCOPE OF PERSONAL DATA

   We undertake to process data only to the extent necessary for the purpose for which they are provided. The range of data may consist of:

  • Full name
  • E-mail address
  • Phone number
  • Place of residence
  • Employment
  • Church affiliation

 

PROCESSING PERSONAL DATA

   We collect personal data from the data subject based on voluntariness when they visit our website, fill in one of the forms online or in paper form, or by communicating with us by e-mail, telephone or correspondence.

   At the same time, we can automatically process your technical information when visiting our website. These are basic information about your activities on our site, possible failure to load the page contents, number of subpages visited, the time of the online visit and use of our contact form. As part of the technical information, we can record the type and version of your web browser, your time zone settings, your browser extensions, your operating system, and your device type. Many of these data are obtained from third parties who provide us with data to improve our services. These are mainly companies offering analytical, search and banking services.

The processing of the above mentioned data works primarily through Google Analytics, the web analytics service offered by Google, Inc. ("Google") that tracks and reports website traffic.

In addition to personal and technical data, we record and store data on the online or offline activities of data subjects. This is primarily about monitoring payments and donations to the association and recording the number of attendees at seminars and events.

Cookies. Our website also uses cookies. These are small files that a page or some of its components stores on your computer through your web browser. This allows pages and some features to recognize the type of your browser and remember some settings and information. These files cannot be linked to your person in any way, nor can they be used to trace back personal data about you. They are mainly used for measuring site speeds and analyzing the quality of our services.

 

PURPOSE OF PROCESSING PERSONAL DATA

   We process data, including personal data, for the following purposes:

Use of personal data for the purpose for which they were provided. We can use your personal data to provide information about our services, products and activities. Also for replies to received questions.

Improving your visiting experience on our website. The technical information we collect about your interaction on our website is mainly collected to measure the quality and speed of our website so that we can analyze any technical problems and continuously improve them to your full satisfaction.

Developing and improving our services. We use personal data, feedback and information about visitors to our seminars and activities to measure the efficiency of our services and to improve our work in the field. We can also use anonymous comments for this purpose.

For communication and providing information. We collect personal and contact data so that we can answer your questions, provide requested information or provide regular overview of our activities in the form of newsletters.

To promote and offer our services. We can send you information about our activities from time to time and offer you to support our services or inform you about new services and activities we are hosting.

 

PROVIDING PERSONAL DATA TO THIRD PARTIES

   We declare that we do not provide or sell your personal data to third parties for any marketing or advertising purposes. Nor do we knowingly provide any other data to third parties outside the software and application providers whose services our association uses.

 

INFORMATION ABOUT THE RIGHTS OF DATA SUBJECT

   As a data subject, please note that according to GDPR you have the right to: withdraw consent to providing personal data any time, request information from us as to what personal data we are processing, request access to it and have the data updated, request information from us as to how we process the data, request the erasure of this personal data, and contact us or The Office for Personal Data Protection in case of doubt about our handling of your personal data.

 

OUR COMMITMENT FOR PROCESSING PERSONAL DATA

   We are always concerned for your safety and well-being when processing your personal data. We collect your information so that we can inform you of our activities and set our services in the best manner for your benefit. Therefore, we care about moral and ethical values in processing your personal data and we try to be as transparent as possible in the handling of your data. We process any data only for the purpose for which the data was provided. We take every step to preserve the integrity and confidentiality of your data.

Data storage takes place in two forms. We primarily store data in a secure database stored on our computer or on the servers of the companies whose services we use (Google, Wedos). Some of the data we collect in paper form and they are kept in a secure and locked place.

The time period of personal data retention. We retain data for 10 years from their acquisition. After this period, we are obliged to seek consent as to whether we can continue processing your personal data. If you do not actively agree, the data will be deleted or shredded.

Disclosure of personal data. The personal data we receive will not be disclosed anywhere except with the express consent and agreement between the controller and the data subject.

Publishing photos and records. We reserve the right to publish photographs and records taken as part of our activities, services and trips to South Sudan, which are organized under the auspices of SJS or South Sudanese organizations working with us. These materials will primarily be used for reporting on our activities and promoting our organization. We consider it our duty that any person concerned should be informed of this statement prior to the acquisition of such material and be aware that they may at any time request the withdrawal of such material from our website or Facebook page. We also undertake that unless we have explicit permission to do so, we will not identify or name anyone in the photographs or records.

 

CHANGES IN OUR PRIVACY POLICY AND PERSONAL DATA PROTECTION

   In order to keep you as safe as possible and to adapt to evolving technologies and laws regarding the protection of personal data, changes to this policy may occur from time to time. If any changes occur, we will send you a notification to your e-mail address and the full text will be published here on our website.
